Design invoices go wrong when the client does not see what each fee covered. This template lists deliverables rather than hours, with room to state the number of concepts and revision rounds included, and a deposit line for the upfront payment most designers take.

Out-of-scope work, such as an extra revision round or a new format, goes on its own line so it is visible and easy to approve.

How to use this template

  1. Download the format you prefer: Word to edit like a document, Excel for automatic totals, or the PDF to print and fill in by hand.
  2. Add your details: business name, address, contact details and, if you have one, your logo and tax number.
  3. Fill in the client and invoice details: who you are billing, a unique invoice number, the invoice date and the due date.
  4. List what you are billing, one line per item or task.
  5. Check the totals (Excel calculates them; in Word, work them out or use the online generator), then add payment terms and how to pay.

Copy the deliverables from your proposal so the client can match them line by line.

Deposit before concepts

Transfer rights on payment

If your contract transfers copyright or grants a license on full payment, say so in the invoice notes.

Frequently asked questions

Should designers bill hourly or per project?

Most bill per project or deliverable, with an hourly rate for extra changes. If you bill hourly, use the hourly invoice.

How do I bill for extra revisions?

Add a separate line such as "Additional revision round (out of scope)" with its price, ideally after the client approved it by email.

Can I include stock image or font licenses?

Yes, as separate lines at cost (or with an agreed mark-up). Note that the license is in the client's name if it is.
