Photographers sell time, edited images and usage rights, and usually take a booking deposit. This template adds a shoot date and a usage-license field to the header and a "Less: deposit received" line under the total.

Spelling out the license on the invoice (for example "web and social, 2 years") avoids misunderstandings about where the client may use the images.

How to use this template

  1. Download the format you prefer: Word to edit like a document, Excel for automatic totals, or the PDF to print and fill in by hand.
  2. Add your details: business name, address, contact details and, if you have one, your logo and tax number.
  3. Fill in the client and invoice details: who you are billing, a unique invoice number, the invoice date and the due date.
  4. List what you are billing, one line per item or task.
  5. Check the totals (Excel calculates them; in Word, work them out or use the online generator), then add payment terms and how to pay.

Tips for photography invoices

Take a booking deposit

A non-refundable booking deposit (commonly 25–50%) secures the date. Invoice it when the contract is signed and subtract it on the final invoice.

Listing "120 edited images – included" at zero shows the client the full value of the package.

Name the license

State the media, duration and territory. Extra usage can then be quoted and invoiced separately.

What should a photography invoice include?

Should I charge sales tax on photography?

In many US states, photography and prints are taxable, while some states exempt certain services. In VAT/GST countries photography is taxable once you are registered. Check your local rules.

When should I send the final invoice?

Common practice is to invoice the balance before or with gallery delivery, and to release full-resolution files once it is paid.
