Consulting work is usually billed under a statement of work or engagement letter, by the hour or day, often against a retainer paid in advance. This template has an engagement/PO reference, a billing period, dated time entries and a "Less: retainer applied" line so the client sees exactly how much of the retainer was used.

Change the Hours column header to "Days" if you bill day rates; the formulas work the same way.

How to use this template

  1. Download the format you prefer: Word to edit like a document, Excel for automatic totals, or the PDF to print and fill in by hand.
  2. Add your details: business name, address, contact details and, if you have one, your logo and tax number.
  3. Fill in the client and invoice details: who you are billing, a unique invoice number, the invoice date and the due date.
  4. List what you are billing, one line per item or task, with the date of each.
  5. Check the totals (Excel calculates them; in Word, work them out or use the online generator), then add payment terms and how to pay.

Tips for consulting invoices

Quote the engagement reference every time

Use the SOW or PO number from the contract. It is how the client's finance team matches your invoice to an approved budget.

Bill expenses separately

Travel and other pass-through costs are best listed as separate lines (or a separate invoice) with receipts attached, at cost unless your contract allows a mark-up.

Retainers: show usage

List the hours worked even when they are covered by the retainer, then subtract the retainer. The deposits and milestones guide covers retainer invoicing.
